WORKFLOW INTEGRATION

This workflow digitizes and automates the entire residential cleaning management process, from initial client intake through invoicing, using a combination of a no-code front-end (Softr AI), a centralized data ledger (Rows), and powerful AI for automation and decision-making (Coze, Google Gemini, Chatbase).

  1. Client Intake & Quote Generation (Softr AI/Chatbase): Potential clients visit the cleaning service's website, built with Softr AI, which hosts an interactive Chatbase AI widget. The chatbot collects essential service details (e.g., address, home size, frequency) and uses this data to provide an instant, automated service quote. Upon client confirmation, the job details are pushed directly to a central Rows sheet acting as the job ledger.
  2. AI-Powered Scheduling & Assignment (Rows/Google Gemini): A manager reviews new jobs in the Rows ledger. Google Gemini is prompted (via an automation) to analyze the job's requirements, location, and the current workload/proximity of all available cleaning crews (data held in Rows). Gemini suggests the most optimal crew assignment and route, which the manager confirms, updating the assignment in Rows.
  3. Crew Communication & Job Progression (Softr AI/Coze): The assigned crew accesses their daily schedule and job details via a simple mobile application or portal built with Softr AI, pulling data directly from Rows. When the job is completed, the crew updates the status in the portal. This action triggers Coze to send an automated, personalized 'Job Completed' notification (via email or SMS) to the client, along with a request for feedback.
  4. Invoicing & Financial Closing (Rows/Google Gemini): The 'Completed' status in Rows triggers the final financial automation. Rows calculates the final invoice amount and the crew's pay based on the job details and pre-set rates. Google Gemini drafts a professional and personalized thank-you note and a summary of the services performed, which is automatically included with the invoice generated by Rows and sent to the client.
